The right software is the smallest system that reliably fixes your most expensive workflow problem. Start with the handoff that fails today, then score tools against real jobs instead of buying the longest feature list.

Start with the business problem

Write one measurable problem before watching demos. Examples: customers wait too long for a reply, the office double-books technicians, estimates are not followed up, invoices take a week to send, or nobody can see which leads need attention. A useful target is specific: “send every completed-job invoice before the technician leaves” is more actionable than “be more organized.”

Run a seven-day trial with real scenarios

  1. Day 1: import a small customer sample and configure services.
  2. Day 2: capture a lead and send an estimate.
  3. Day 3: schedule and reassign a job.
  4. Day 4: have a field user complete the job on a phone.
  5. Day 5: invoice, collect a test payment if practical, and reconcile it.
  6. Day 6: test reminders, permissions, and one critical integration.
  7. Day 7: export the data and score the platform.

Red flags during a demo

  • The salesperson demonstrates a different plan from the quote.
  • Required functions are described as “possible” but depend on a paid add-on or custom work.
  • Data export excludes notes, attachments, or line-item history.
  • The mobile app cannot complete the core workflow.
  • Pricing is clear for today but not for the next five users.
  • Cancellation, renewal, or implementation terms are difficult to obtain in writing.

A practical decision rule

Do not choose the highest score automatically. Eliminate any product that fails the core workflow, data-export, or budget requirement. From the remaining options, choose the simplest one your team can operate consistently. Revisit the decision after 90 days using fewer missed leads, faster invoices, reduced drive time, or another metric tied to the original problem.
